How to register?
Registration for the congress should be done using the online registration system. No manual registrations will be available.
To qualify for the current registration rates, registration with payment must be made by 31 May 2016. Should payment not be received, your registration category will automatically change to the later category, and the registration fee will be adjusted accordingly.
Confirmation Upon receipt of your registration with payment via credit card, you will receive an invoice together with an email confirmation of yourregistration for the congress. On receipt of registration and your request to pay via EFT/Swift, you will receive a confirmation of registration together with an invoice for payment. Please ensure you send the Registration Secretariat proof of payment/copy of swift. Once the funds reflect in the conference account you will receive a receipt and confirmation of your participation.
We encourage you to approach the following list of IUGS Member Organisations who offer Grant Programmes prior to applying for assistance from the GeoHost Programme as we believe the demand will exceed funds available.

All registration fees are before the deadline date in order to qualify for the rate.
Full payment of registration fees must accompany your registration booking in order to receive confirmation of participation.

DEFINITIONS:
‘Student’ a person enrolled in a recognised tertiary course as a full time student, and who is not engaged in full time employment. A copy of a current student photo-ID card and a supporting letter from your Head of School or course supervisor confirming course and full time student status will be requested by the Secretariat.
Young Earth Scientist’ a person who is under the age of 35 and is a registered member of the Young Earth Scientists Network.
TERMS AND CONDITIONS
To qualify for the Super Early-Bird rates for 35 IGC, your registration and payment must be received and reflect before 1 November 2015.
To qualify for the Early-Bird rates for 35 IGC, your registration and payment must be received and reflect before 31 May 2016.
To qualify for the Standard rates for 35 IGC, your registration and payment must be received and reflect before 26 August 2016.
For delegates’ own safety and security, no sharing of registrations will be permitted. ie. Company name tags will not be issued.
Cancellation: All cancellations must be made and received in writing by the 35th IGC congress registration team and must be acknowledged by us. Failure to obtain a visa or flights is not grounds for a refund of registration fees.
a. No refunds for cancellations/no-shows will be made. The delegate will be liable for the full amount due in respect of fees. b. Registrations are transferable to delegates not yet registered only if the 35th IGC congress secretariat is duly informed in writing at least 14 days in advance of the start of the congress.
Payment: Full payment of registration fees and other costs must accompany your registration. If payment is not received within 14 days of registration, your registration may be cancelled.
Congress participants are responsible for taking appropriate insurance and medical cover in connection with their attendance at the congress. The congress organisers and hosts or any individuals associated with the congress or hosts in any capacity shall not be liable for any kind of loss or damage to personal property, delegates or sponsors.
Neither the committee of the 35 IGC Foundation NPC, the Board or Local Organising Committee, hosts nor Professional Conference Organiser (PCO) accept liability for death, injury, any loss, cost of expense suffered or incurred by any person if such loss is caused or result from the act, default or omission of any person. In particular neither committee of the 35 IGC Foundation NPC, the Board or Local Organising Committee, hosts nor Professional Conference Organiser (PCO) can accept any liability for losses arising from the provision or non-provision of services provided by local companies or transport operators. Nor can the committee of the 35 IGC Foundation NPC, the Board or Local Organising Committee, hosts nor Professional Conference Organiser (PCO) accept liability for losses suffered by reason of war, including threat of war, riots and civil strife, terrorist activity, natural disaster, weather, fire, flood, drought, technical, mechanical or electrical breakdown within any premises visited by delegates and/or partners in connection with the conference, industrial dispute, governmental action, regulations or technical problems which may affect the services provided in connection with the Congress.
Neither the 35 IGC Foundation NPC, the Board or Local Organising Committee, hosts nor Professional Conference Organiser (PCO) is able to give warranty that any particular person will appear as a speaker or panellist.
Visa and travel documentation including medical insurance is the delegates own responsibility; please ensure you have the correct documentation.
Currency & VAT: All fees and costs are quoted and are payable in South African Rand (ZAR) and include current South African Tax of 14%.
Social events: Tickets to all social events are non-refundable and have no cash value. Minimum numbers may be required in order for certain social events to proceed and may be cancelled by the congress organisers if these numbers are not achieved. A refund will be provided to the value of the ticket price paid should an event be cancelled by the congress organisers.
Privacy: Your privacy is important to us. Your personal information will be used in accordance with our privacy policy. In addition to the statements in our privacy policy, personal information collected from the congress delegates may be shared with the congress sponsors - so that they may contact you directly. If you do not wish to receive such information please contact the registration team.
Right of admission is reserved.
Limitation of Liability in Relation to the Congress
The 35th IGC Local Organising Committee and the Professional Conference Organisers reserves the right to cancel the 35th IGC congress without notice or compensation in the event of any delay, default, failure or cancellation of implementation of any deliverable to or for the 35th IGC congress which has been caused, directly or indirectly, by any incident of "force majeure". For the purposes hereof, the term "force majeure" shall mean any incident, circumstance or cause which renders delivery of the 35th IGC congress substantially or totally impossible or impracticable and which is beyond the control of the organisers. The term shall include but not be limited to the following:
Any strike, or other industrial action of any kind;
Fire, flood, or adverse weather conditions;
Unavoidable breakdown or destruction of facilities or equipment;
Power failure;
Promulgation/amendment/rescission of any relevant legislation or regulation by local or national government;
Any occurrence, of any nature, which renders it reasonably necessary for the organisers to cancel the 35th IGC congress.
In such circumstances, the 35th IGC Local Organising Committee and Professional Conference Organisers are hereby indemnified and shall not be liable to any delegate, companions, children, or other attendees for any loss or damage.
The 35th IGC Local Organising Committee and Professional Conference Organisers shall not be responsible for any theft, breakage, destruction or damages of any kind whatsoever and howsoever caused to personal and/or business items of delegates, companions, children, or other attendees.
All delegates are expected to make themselves fully aware of the health and visa requirements in respect of travel to South Africa. Please visit the Department of Home Affairs at http://www.dha.gov.za/index.php/immigration-services/apply-for-a-south-african-visa for more information. In the event that an individual is unable to participate in the congress due to not meeting these requirements in any way, the 35th IGC Local Organising Committee and Professional Conference Organisers cannot accept responsibility in any respect.

LETTER OF INVITATION AND VISAS
INVITATION LETTERS
The 35th IGC will take place in Cape Town, South Africa and international delegates should be particularly aware of and careful about visa requirements. Please plan your travel well in advance and allow plenty of time to apply for a visa.
On receipt of payment, and on request, the conference organisers will send a formal letter of invitation to those delegates needing an invitation letter for visa purposes. It is understood that such an invitation is intended to help potential delegates to raise funds or to obtain a visa. However, it does not imply a commitment from the conference organisers to provide any financial support. Letters of invitation may be requested from the congress secretariat no later than three months prior to the event. Such letters of invitation will be emailed on request.

The entry formalities and vaccination requirements for South Africa vary according to the country of origin of delegates. For specific information, please contact your local travel agent or the South African Consulate in your home country.
